Under the EU’s General Data Protection Regulation (GDPR), personal data is defined as: Any information relating to an identified or identifiable natural person ('data subject'); an identifiable natural person is one who can be identified, directly or indirectly, in particular by reference to an identifier such as a name, an identification number, location data, an online identifier or to one or more factors specific to the physical, physiological, genetic, mental, economic, cultural or social identity of that natural person. JMS One will process personal information as a data processor on behalf of its clients (data controller), who use our services to support their staff management processes.

JMS One’s clients use our Online Healthcare Staff Management Platform, ‘JMS One’ to input personal data for their candidates. JMS One may access personal data to provide the service, addressing technical problems, respond to client instructions and legal requirements, and respond to support issues. This will all be done in accordance with the agreement between JMS One and the client.

JMS One makes use of cookies to improve performance and to personalise functionality. These cookies do not contain any personally identifiable information.

Why does JMS One Limited need to process personal data?

For us to provide our clients with a healthcare staff management solution, we need to process personal data provided by our clients. We are committed to ensuring that any information processed by JMS One is appropriate for this purpose and does not constitute an invasion of privacy.

Will JMS One Limited share personal data with anyone else?

We may need to share personal data with third-party service providers contracted toJMS One Limited. Any third parties that we may share data with are obliged to keep all personal data securely, and to use the data only to fulfil the services they provide for the functioning of JMS One. When they no longer need to use personal data to fulfil these services, they will dispose of the data in line with JMS One Limited’s procedures.

We will not sell or use personal data for unsolicited marketing purposes.

How will JMS One Limited use the personal data?

JMS One Limited will process personal data in a manner compliant with the General Data Protection Regulation (GDPR). We will endeavor to keep data accurate and up to date, and to not keep it any longer than necessary. We are required to retain certain information in accordance with the law, such as required for income tax and audit purposes. How long different kinds of personal data should be kept are governed by client and industry requirements and agreed practices. Personal data may be held for longer periods depending on individual business needs.

How does JMS One safeguard personal data?

JMS One are committed to protecting the rights of individuals’ privacy regarding the processing of personal data. We apply stringent and advanced security measures (both technical and organisational) to ensure confidentiality, availability and integrity of personal data.

How do I make a request related to my personal data?

Individuals have certain rights under the GDPR such as access to, and rectification or erasure of personal data. Should an individual wish to make any requests relating to personal data, they should contact the employer they hold contractual agreements with.

Following a client request, we can then confirm what personal information is held for an individual as well as fulfilling other provisions in-line with an individual’s rights under the GDPR.
