For many care managers, Monday mornings can feel like organised chaos.

Before you've had chance to make a cup of tea, you're already dealing with last minute sickness, annual leave requests, agency bookings, compliance reminders, payroll questions, and a phone that doesn't seem to stop ringing.

The good news is that a productive week often starts with a productive Monday. Spending just 20 minutes reviewing a few key areas can help you spot issues before they become problems, saving hours later in the week.

Here's the Monday morning checklist every care manager should have.

1. Review Your Rota

Your rota sets the tone for the entire week, so this should always be your first stop.

Ask yourself:

  • Are all shifts covered?
  • Has anyone called in sick over the weekend?
  • Is anyone working excessive overtime?
  • Are staffing levels safe for each shift?

Identifying gaps early gives you more options before you need to rely on expensive agency cover.

2. Check Compliance

Compliance isn't something that should only be looked at before an inspection.

Take a few minutes each Monday to review:

  • Training due this week.
  • DBS checks nearing expiry.
  • Mandatory certificates.
  • Staff who may need refresher training.

Keeping on top of compliance throughout the year makes inspections far less stressful.

3. Look Ahead at Annual Leave

Rather than reacting to leave requests as they arrive, review the week ahead.

Check:

  • Who is already on annual leave?
  • Are there enough staff on each shift?
  • Can pending requests now be approved?

Planning ahead helps avoid unnecessary staffing shortages and difficult conversations later.

4. Review Agency Cover

Agency staff are an important part of many care services, but they shouldn't always be the first option.

Ask yourself:

  • Which shifts still need covering?
  • Can bank staff help first?
  • Are there recurring gaps that need addressing?

Understanding where agency staff are being used can also highlight longer term recruitment needs.

5. Prepare for Payroll

Payroll becomes much easier when it's checked little and often.

Take a quick look for:

  • Missing clock ins.
  • Outstanding timesheets.
  • Incorrect shift hours.
  • Any obvious discrepancies.

Finding these early means fewer surprises at the end of the month.

6. Review Recruitment

If you're recruiting, Monday is a great time to see where every applicant is in the process.

Check whether:

  • Interviews are booked.
  • References are outstanding.
  • Contracts have been sent.
  • New starters are ready to begin.

A simple review can prevent delays and help vacancies get filled more quickly.

7. Communicate With Your Team

Finally, don't forget your people.

Share important updates, remind staff about upcoming training, recognise great work from the previous week, or simply check in with your team.

Good communication creates confidence, improves morale, and helps everyone start the week on the same page.
